Transit Technologies: Centralizing A/R and Transforming Collections with Gaviti

About Transit Technologies

Transit Technologies is a private equity firm with a portfolio of transportation-focused, technology-driven businesses. The organization operates a shared services group responsible for accounts receivable across its portfolio of approximately 6 companies. The assistant controller, Carol Bolton, who built and now leads this function, has overseen the shift from decentralized, spreadsheet-heavy processes to a standardized, scalable A/R model powered by Gaviti that consistently performs well.

The A/R Challenge: Siloed Processes and Overwhelmed Teams

Before Gaviti, every operating company managed A/R on its own. As Carol explained, “Each OpCo really kind of operated in a silo… they really did everything accounting function, soup to nuts.” Each entity had one accounting manager juggling billing, collections, aging, Excel spreadsheets, and entirely manual outreach.

As the portfolio grew, this model became unsustainable. Some OpCos had nearly 1,000 customers, leaving accountants to chase overdue invoices manually and without any formal process. While conventional wisdom would be to put everyone on autopay, many customers require POs or had other reasons that automatic payment just wouldn’t work for them.

Collectors struggled with outdated contact information, no prioritization structure, and no reliable way to understand customer behavior. Critical warning signs were regularly missed. Carol summarized the issue by saying:

“Nobody was really paying attention to the red flags. Why wouldn’t the customer pay? Is the solution not working? Are they upset? Do we not have the right contact? We just didn’t know any of that…we’re not a bank, we cannot finance all our customers.”

The organization aimed to keep over-60-day aging at 4% yet routinely found itself in the 30–40% range. In extreme cases, invoices were 700+ days overdue—and the trend was getting worse. It became a significant working capital issue and a clear sign that spreadsheets could no longer support the business.

Some systems are not intuitive. But this one is extremely intuitive… there’s a flow to it. And that’s what accountants like—we cling to our checklists.

Why Transit Technologies Chose Gaviti

When evaluating A/R automation platforms, Gaviti stood out for its clarity, usability, and accounting-friendly design.

Carol emphasized the intuitiveness of the platform: “The dashboard is so easy to use… anybody can get in there.” Even the CEO logs in regularly: “He navigates  around, he can see things… it’s very user-friendly.”

Beyond usability, Carol emphasized that Gaviti aligns naturally with how accounting teams think and work: “Some systems are not intuitive. But this one is extremely intuitive… there’s a flow to it. And that’s what accountants like—we cling to our checklists.”

Despite rolling out several systems simultaneously, Transit Technologies described Gaviti’s implementation as “such a smooth process.” The project manager, who supported multiple OpCos, also found it easy to configure and adopt.

The Results: Visibility, Speed, Structure, and Significant KPI Improvement

1. Real-Time Visibility for A/R and the Executive Team

One of the most transformational changes was newfound visibility into daily collections activity. Previously, Carol had almost no insight into who was contacted, what actions were taken, or what was falling through the cracks.

Now, she can see exactly what the team is working on: “I’m constantly checking: Are you doing what you’re supposed to be doing? How many touchpoints did you make? What are you actually doing?”

The executive team at Transit Technologies benefited as well. For many, the platform offered their first direct look into customer sentiment. Executives could now see complaints, withheld payment explanations, and service issues—helping operational teams respond faster and more effectively. The C-suite logs into the platform and view the reports regularly. As Charol said, “It was really a peek behind the curtain.”

The My Actions tab in Gaviti has become a daily compass and Transit Technology’s A/R team. Early on, the A/R team faced an average of about 80 tasks per day due to backlog. Once stabilized, the workload dropped to about 3 focused tasks per day per team member, reducing burnout and improving effectiveness.

2. Operational Transformation: Faster Processes and Better Customer Insight

Gaviti brought structure and cadence to what had previously been an overwhelming, inconsistent workflow. Collectors no longer needed to guess whom to call or when. The system provided a prioritized plan. “The system drives that for them… instead of just trying to get in touch with who they feel like calling.”

Regular dunning workflows also uncovered billing errors and contract discrepancies more quickly. Customers now have a direct channel to share concerns, enabling earlier resolution:“As soon as we can catch it and correct it, the more collectible it’s going to be.”

All improvements were achieved without increasing headcount.

3. Quantifiable Improvements Across the Portfolio

Transit Technologies realized dramatic A/R improvements after adopting Gaviti:

  • Aging dropped from 37% to ~2% in some OpCos.
  • Several others now consistently maintain aging under 7%.
  • 61–91+ day aging buckets fell by ~40% as a whole
  • All improvements were achieved without increasing headcount.
  • Escalation timelines (time when an invoice is sent to a collections agency) improved from 900+ days to 90 days, aligning with best practices.

Carol attributes the turnaround entirely to improved organization and workflow consistency.

The company is now also significantly more audit-ready. Gaviti dashboards support CECL analysis by making it easy to distinguish collectible from non-collectible invoices at a glance.

Advice for Other A/R Leaders

Carol offers two key recommendations for organizations considering Gaviti:

  1. Prepare the team and secure buy-in.
Change is valuable—but not everyone adapts quickly.
  2. Define the cadence you want, then build Gaviti around it.
A thoughtful structure amplifies the platform’s impact.

Conclusion

Transit Technologies’ journey from fragmented, spreadsheet-driven A/R to a centralized, automated, and highly visible collections operation has transformed its financial performance.

Aging has dropped dramatically. The A/R team became more productive with fewer, more strategic tasks. The accountants at the portfolio companies don’t need to worry about collections which is a very time-consuming and volatile task. Executives gained visibility and earlier insight into customer issues. And the organization strengthened its working capital position without adding headcount.

Transit Technologies’ decision to adopt Gaviti didn’t just modernize accounts receivable collection tasks, they built a scalable, insight-driven foundation for continued growth across their expanding portfolio.
